Offline-First Architecture
Your business records remain stored locally in your phone's internal storage (Hive DB) without requiring a central server.
Google Sheets Sync
Text data syncs directly into your private Google Sheets. You enjoy complete ownership and can inspect your records anytime.
Zero Developer Access
We do not collect, read, host, or sell your invoices or ledger entries. Your data stays 100% private to you.
Information We Collect & Permissions Required
To provide a smooth Point of Sale (POS), GST Billing, and Ledger Book experience, BillKhata accesses only the minimal permissions and details necessary for core app functionality:
- Business Profile: Business Name, shop address, contact number, and GST/Tax ID (optional) to generate customized invoices.
- Google Account Information: When signing in with Google, we authenticate your email and profile name to personalize your app experience and authorize cloud backup.
How We Use Your Data
All data processed within BillKhata is strictly utilized to provide local billing, inventory, and accounting features:
- Invoice Generation: Generating professional PDF invoices, POS receipts, and tax calculations with your business branding.
- Ledger & Khata Management: Maintaining accurate records of credit/debit transactions, balances, and party histories.
- Payment Reminders: Enabling you to send reminder messages via WhatsApp or SMS (initiated solely by you).
- Backup & Restore: Safely syncing your ledger, customer list, inventory, and orders to your personal Google Sheets and Google Drive accounts.
Data Storage Architecture & Cloud Backup
BillKhata operates primarily as an offline-first application. Your operational data resides locally on your device in a secure Hive NoSQL database. Even without internet connectivity, you have full access to all billing and ledger functions.
When you sign in with Google and enable backup, BillKhata communicates directly with your personal Google Cloud account:

🛡️ Google API Services User Data Policy Compliance
BillKhata's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use your Google user data to serve advertisements, train artificial intelligence models, or transfer data to unauthorized external entities.
Data Ownership, Retention & Deletion
You maintain unconditional ownership and full control over your business data at all times:
- In-App Data Deletion: You can delete any transaction, customer, supplier, or product directly inside the app whenever you choose.
- Cloud Backup Deletion (Google Sheets & Drive): Because your backups reside in your personal Google account, you can permanently erase your cloud data at any time by simply opening your Google Drive or Google Sheets and deleting the "BillKhata" spreadsheet and folder.
- Account Deletion: If you wish to permanently delete your Google Sign-In authentication record, please email us at billkhata.help@gmail.com. Your request will be fulfilled promptly.
Data Sharing & Third-Party Disclosure
We do not sell, rent, trade, or monetize your personal or business data under any circumstances.
- Third-Party Infrastructure: We use official Google libraries (Firebase Authentication, Google Sign-In, Google Drive API, Google Sheets API) solely for authentication and user-directed cloud backup.
- User-Initiated Sharing: When sharing an invoice or reminder through WhatsApp, SMS, or Email, the data is shared strictly through the application chosen and initiated by you.
Security Safeguards
We implement industry-standard safeguards to protect your records:
- Network Encryption: All communications between the app and Google services are encrypted using modern Transport Layer Security (TLS/HTTPS).
- Physical Device Protection: We provide an optional in-app Biometric / PIN Lock to ensure unauthorized individuals cannot open the app on your phone.
Children's Privacy & Policy Updates
Children’s Privacy: BillKhata is a business management tool designed for merchant and business use. We do not knowingly collect information from children under the age of 13.
Changes to This Policy: We may update this Privacy Policy from time to time to reflect app improvements or regulatory updates. Any changes will be posted immediately on this page with an updated revision date.
